Job Summary

The Admissions/Authorizations Office Assistant assists with faxing to obtain authorizations and prescriptions, scanning, retrieving voice mails, daily mail, and any other functions to support the Admissions/Authorization Department deemed necessary. Acts as a resource, representing The Children’s Institute’s philosophy of patient and family centered care.

Education: High school diploma or equivalent. Associate degree or business school preferred.

Licensure: None

Certification: None

Clearances: Act 73 FBI*Act 34 Criminal Clearance*Act 33 Child Abuse Clearance

**Clearances must be obtained within 30 days of hire in order to continue active employment.

Training and Experience: Two years experience in a health related or office environment with patient/client interaction required. Previous experience with insurance authorization preferred. Familiarity with Microsoft Office experience strongly preferred. Previous data entry experience required.

Job Responsibilities

• Completes all tasks in an accurate and timely fashion per departmental and organizational standards.
• Document scanning on a daily basis
• Contacting physician offices to validate information
• Call to obtain authorizations and authorization extensions as needed
• Faxes the prescriptions and authorization requests
• Admit outpatients as needed and serve as back-up to the department for specified tasks
• Daily mail pickup and delivery to the mailroom
• Retrieves voicemails from intake lines and distributes appropriately.
• Demonstrates effective professional communication, with an emphasis on customer service and family centered focus in all patient, family and staff interactions; acting as a liaison for families with the therapy staff and medical departments.
• Protects patients' privacy by maintaining confidentiality of personal and financial information.
• Works collaboratively toward meeting the departmental and organizational goals for patient care and
service delivery.
• Identifies opportunities for improvement and contributes solutions; adapts readily to change
• Complies with departmental and organizational protocols, policies and procedures
